A corporate healthcare trust is an HMRC approved alternative way of funding healthcare benefits for employees. Instead of paying premiums to an insurance company, the money is placed in a Healthcare Trust fund which is used to pay employee private medical claims. If at year end there is any remaining fund balance, then this can be used to help meet claims spent in future years and so reduce costs. By creating a healthcare trust, we have been able to reduce the medical plan rates for tax year 2022/23. Currently we report P11d charges at the end of the tax year, effective 1 April 2023 we will be moving to real-time monthly P11d reporting for tax year 2023/24.

Questions about excess

Yes, from the 1st April 2025 an excess will apply if you make an eligible claim. The excess is £100 per claim, per member, per scheme year. This will be payable directly to the treatment provider and we’ll email you to let you know when it’s due. If you’ve already paid the excess when you receive the email, don’t worry – you can just ignore it.
The excess will apply to every claim, and every scheme year. If you open a second claim (for a different condition) within the same scheme year, the £100 excess will apply again. If your claim is on-going into the 2026 scheme year, the excess will apply again.

New hires will receive an option to enrol into this benefit through your Workday inbox as part of your onboarding journey. All membership changes will need to be updated in Workday, you can make changes in the Workday Benefits App by selecting ‘Change Benefits’ and ‘Moments That Matter’.
When you join the scheme, you will receive an email from Healix with your membership details and registration information for yourself and your family. Once you have registered your details, you will be able to easily access your benefits via your Workday UK Healthcare Trust Single-Sign-On Okta tile.
The Member Zone ties up all the benefits of your healthcare scheme in a handy web-based app accessed via your smartphone, tablet, or computer. You can use it to access the claims portal, book in with your Virtual GP, get in touch with the claims team and browse the suite of benefits available through our Lifestyle and Rewards program. You’ll find everything from discounts at major high street brands to wellbeing plans that assist with a healthy work/life balance. Details on how to register are included in your welcome email.

You will receive the details within your welcome email for your dependents to independently access their personal accounts once they have registered – this includes child dependents who are over the age of 16 years. Please note, the following treatments are not covered under the Workday UK Healthcare Trust scheme:

The purpose of this scheme is to help you with the costs of treatment for an acute illness or injury and to provide quick access for treatment and diagnosis. However, there are some medical conditions and treatments that are excluded from cover. All Private Medical Insurers (PMI) will have a set list of excluded conditions and treatments.
Your current Bupa dental plan options remain in place and the claims process remains unchanged. Employees who are on level 3 & 4 cover have access to the preventative care promising meaning there is no risk from shortfalls while at their preventative appointments undertaking routine treatment. Your sight test and spectacles vouchers via Eden Red remain in place. If you elect to be a trust member, you will also have access to £200 per person, per scheme year for sight tests, and prescribed contact lenses and glasses. You will still have access to a Virtual GP. If you elect to be a trust member, this is via the current VGP provider Babylon. If you decide not to join the healthcare trust, you will have access to TrustDoc24.
The healthcare trust provides full cover for cancer treatment, including diagnostic tests, radiotherapy and chemotherapy. You can also self-refer if you have symptoms of breast, bowel, prostate or testicular cancer. This means you can call the helpline and speak to the claims team, without seeing your GP first. To complement our existing nurse-led cancer treatment pathway, we have also introduced Perci Health to provide additional mental, social and emotional cancer support. Questions about claims and fees

The Healix claims portal is a quick, convenient way to register a new claim – you can access it via the Member Zone. Alternatively, you can call Healix to talk it through on the phone for more complicated claims. Claims made through the helpline will be processed more quickly. It’s helpful if you have your GP referral letter to hand if you’ve been given one.
We work closely with our in-network providers, which means we are able to monitor your on-going treatment through regular update reports to ensure you are receiving the most appropriate treatment for your symptoms. We also have set tariffs in place with our in-network providers, to ensure treatment costs are reasonable, which in turn helps to ensure the Workday UK Trust fund is being used to pay for the most appropriate treatment for you.

These relate to the fees charged by specialists. Currently, there’s no governing body to control how much specialists are able to charge for private treatment in the UK. Because of this, all major private healthcare providers have their own schedule of fees, which lays out the amount they deem reasonable to charge for procedures based on complexity and time. At Healix, you have an open specialist network – you’ll never be told who you can and can’t see, however if you choose to see a specialist who bills over the reasonable and customary fees, you may have to pay a shortfall. Healix will tell you about this in advance wherever possible, and you also have the option of choosing consultants, where available, who bill within the Healix fee schedule if you’d prefer not to pay anything extra.
Yes, you can still submit a claim via the claims portal, or open a claim over the phone with us, without submitting consent for us to obtain medical information for your GP or specialists. If later on we find that we require a medical report, in order to assess if your recommended treatment is eligible, we will ask you at this point, to provide your consent. This can sometimes add a delay into assessing and authorising your treatment, which is why we ask for consent when you first open the claim, to ensure treatment is authorised as quickly as possible.
The underwriting is Medical History Disregarded. This means you will have no personal medical exclusions applied, however your cover will be subject to the general terms of the scheme.

Questions about treatment and specialists

The Healix Provider Finder can help you to locate fully fee assured Hospitals and Consultants located near to you. If the specialist you have been recommended by your GP is not appearing on the Provider Finder, please contact the claims helpline and the Healix team will be happy to investigate eligibility.
If the invoice is from a hospital, you’ll need to let them know to rebill it to Healix Health Services. If the invoice is from a specialist, you can send it to Healix directly.
If your specialist charges above our fee schedule, you can opt to pay the difference or we can assist you in identifying an alternative specialist that charges within our fee schedule.

Standard antennal care is covered under the NHS, however, should you have a complication, there may be cover available under the healthcare trust. Please refer to the pregnancy and childbirth benefit within the online booklet for full details.
Our mental health network provider still covers under 18’s, therefore dependents are still able to see specialists and therapists. For safeguarding Healix would require a GP referral before they can authorise treatment, in or out of network.
Yes, some treatment not covered under the NHS can be covered privately under the healthcare trust, but it would depend on your health condition and the treatment being recommended. Healix follow the NICE (National Institute for Health and Care Excellence) guidelines, so it would depend if the treatment is NICE approved for your condition. It’s best to discuss any treatment not available under the NHS with the Healix claims team.

Questions about health assessments

All UK employees are able to book a health assessment through the Healix Member Zone. The health assessment is provided outside of the Workday Healthcare Trust, and therefore you do not need to be a member of the trust to access this benefit. Workmates are able to benefit from preferential rates with both Nuffield and Bupa. You have a choice of options provided by both providers, up to the value of £666 per annum, which you no longer need to elect in Workday. Any dependents that are members of the Workday Healthcare Trust are also able to access the preferential rates, should they wish to book and pay for their own assessments. If you select any ‘add ons’ that take you above the £666 limit, the surplus can be paid directly to Bupa or Nuffield on the day of your appointment. Find out more on this page.
